File Indexing

Before any AI tool can answer questions about a file, Studycamp has to read and index it. This usually takes seconds to a couple of minutes depending on file size.

How it works

  1. You upload a file. Its status starts as pending.
  2. Studycamp extracts the text, splits it into chunks, and generates embeddings for each chunk. Status moves to processing.
  3. Once done, status becomes ready and every AI tool in that workspace can use it, including page-number citations in Chat.
  4. If something goes wrong, status becomes error.

What you should see

A status pill on the file: Indexing while pending or processing, Ready once it’s usable, or a failed state with a retry option on error. The Knowledge Base panel shows the same status per file.

Good to know

  • Indexing runs automatically after upload. You don’t need to trigger it.
  • Very short files (under a couple dozen characters of extractable text) may not produce any usable chunks, for example a scanned image with no text layer.
  • Citations in Chat include the page number a chunk came from, which only works once indexing is done.

If it doesn’t work

Stuck on “processing” for a long time: large files (100+ pages) can take a few minutes. If it’s been over 10 minutes, refresh the page; if it’s still stuck, delete and re-upload.

Status shows “error”: the file may be corrupted, password-protected, or a format Studycamp can’t extract text from (like a pure image scan without OCR). Try re-exporting it as a standard PDF or DOCX.

Chat says it can’t find anything relevant: check the file is marked Ready, not just uploaded. An unindexed file has no chunks to search.
